For companies with a drivoo business account
1. About these terms
drivoo is operated by TechSphere Solutions Ltd, IH01, Innovations One, DIFC, Dubai, United Arab Emirates, licence number CL8452, issued by the Dubai International Financial Centre (DIFC). These terms are between drivoo and the company that signs up for a business account ("your company").
The authorised person accepts them for your company when signing up. The rides your employees take are also under our Terms of Service and Cancellation and Refund Policy. By accepting, the authorised person confirms they have your company's authority to accept these terms for it. We may ask for proof, such as the trade licence naming them, a power of attorney or a board resolution.
2. Signing up and our review
- You give us your company's trade licence, VAT registration certificate, the authorised person's Emirates ID and passport, and an accounts contact. We verify the authorised person's mobile number and email.
- We review every application. We approve it, ask for more, or decline it with a reason; a declined application can be corrected and sent again. We may decline an application if documents are missing, unreadable, not valid or don't match the company or the authorised person; if we can't verify the company, its details or the authorised person; if information given is false or misleading; or if we have reason to suspect fraud, or the law doesn't allow us to serve the company.
- Once approved, the authorised person becomes your company's first admin.
- Keep your documents current. We remind you before a trade licence or VAT certificate expires, and after. An expired document never stops your employees' bookings.
3. Your admins and employees
- Your admins add employees one at a time or from a spreadsheet, with a name, mobile number, email and budget, and a department if you use one. We tell each employee by email and text message.
- An employee's business profile becomes active once they sign up or sign in with that mobile number, give their name and confirm the email you gave us.
- You activate and deactivate employees at any time. A deactivated employee can't book business rides; their personal drivoo account is not affected.
- Your company must be allowed to give us its employees' details and to have us contact them about business rides. Before adding an employee, your company must tell them that it shares their name, mobile number, email, department and budget with us for business rides, and point them to our Privacy Notice. Keep their details accurate, and deactivate an employee who leaves.
4. What your company sees
Your business portal shows your employees' business rides only. Their personal rides are never shown to your company or shared with it.
5. Budgets and your travel policy
- Each employee has a monthly budget you set, as a number of trips or an amount. A ride counts in the month of its pickup, in UAE time.
- Your policy says whether an unused budget resets on the 1st of the month or rolls over, and how far beyond the budget your company still pays (the cover, a percentage of the monthly budget).
- A business ride can be booked only within the budget plus the cover. Beyond that, the employee can book the ride as personal and pay for it.
- At booking, a ride reserves its fare estimate from an amount budget, or one trip from a trips budget. At the end of the ride the reservation becomes the final amount. If the final total goes beyond the budget and the cover, your company is still charged, because the ride has been taken, and your admins are told.
- Cancellation and no-show fees charged to your company count against an amount budget, never a trips budget.
- We email your admins when budgets reach the share you set, when a budget is used up, and when the cover is used up.
- Your policy can ask employees for a booking reason. Policy changes apply to new bookings only.
6. Prices and payment
- Business rides are priced exactly as public rides, including prices that change with the time of day or demand.
- Your company pays with a card it links in the business portal. Each business ride is held on your company card at booking and charged at the end of the ride. The hold is larger than the fare, as our Cancellation and Refund Policy explains; it stays on your company card and never counts against an employee's budget.
- Tips are paid by the employee from their own card, never by your company. Promo codes can't be used on business rides.
- Personal rides are always paid by the employee. Your company is never charged for them.
- Today, your company pays for business rides by company card only. Credit terms with a monthly invoice, or payment in advance, may be offered later under a separate written agreement with your company. We may charge interest on an amount paid late, at a rate the law allows.
7. If your company card can't be charged
If an amount can't be charged to your company card (the amount above the hold at the end of a ride, a refused charge, a charge added after the ride, or a fee), your company owes it as a company balance. The employee is never charged, asked or blocked for it, and the ride still completes. We email your admins and accounts contact the balance, its payment reference and our bank account. Our finance team records your transfer or deposit with its reference. Your company pays a company balance within 30 days of our email. If it is still unpaid after that, we may disable your business account until it is paid (section 9).
8. Cancellations, no-shows and waiting
Our Cancellation and Refund Policy applies to business rides. Its fees on a business ride are charged to your company.
9. Enabling, disabling and closing
- We can enable or disable your business account at any time, with a reason. While it is disabled, your employees can't book business rides.
- Nothing is suspended automatically because a company balance is unpaid: our team reviews it.
- Your company or we can end these terms at any time with 30 days' written notice, and we can end them at once if your company seriously breaches them. When they end, your employees can no longer book business rides, and your company still pays for rides already taken and any fees and balances it owes.
10. Data protection
Your company's documents are stored privately and seen only by our review team. We keep them for 5 years after your account closes. Our Privacy Notice explains how we use personal data. Your company is responsible for the employee details it gives us and for what it sees in the business portal, and drivoo is responsible for its own use of them to run the rides, payments and our records. Each of us is responsible for its own use, separately.
11. Responsibility, law and disputes
The fleet that carries out each ride is responsible for the ride itself: the chauffeur, the car, its insurance and the driving. As far as the law allows, drivoo's total liability to your company for a business ride is limited to the amount paid for it, and neither of us is liable to the other for indirect losses, such as lost profit or business. This doesn't limit your company's duty to pay for rides, fees and balances, or any liability for death or personal injury caused by negligence, for fraud, or for anything else the law doesn't allow to be limited or excluded.
These terms are governed by the laws of the Dubai International Financial Centre (DIFC), and the DIFC Courts decide any dispute about them. This doesn't take away any protection the law gives you that can't be excluded by agreement.
12. Changes to this document
The version and date at the top show which text is in force. When we change it in a way that matters, we tell you and ask you to accept it again in the app or on the website before your next booking.
